Your customer chooses their ticket on the event page and books their place. They don't pay you online: they pick up their paper ticket at the box office or from the promoter they've arranged to meet and pay you there, in cash or with your card reader. The only thing they pay online is the booking fee, €0.30 or 3% of the price, whichever is higher, and that goes to Servomo's card terminal: your whole box office stays in your till.

At the box office and in the promoter's dashboard you see the list of bookings with their name, pick-up time and what they have to pay you. When someone arrives and pays, you give them their paper ticket and mark the hand-over: before closing it, it asks you to confirm you've received that €60 for those four tickets, and at that moment the money goes into the night's till and the booking counts as paid. What isn't picked up doesn't sneak into your numbers.

When you need to stop taking bookings (the paper tickets ran out, capacity changes, there's a problem with the venue), you cut them for one night or for all of them at once, with the reason shown to anyone trying to book. What comes in through your promoters' links is cut too. Existing bookings stand, and the box office and your promoters can still record what they take in cash.

Publish the places and times for pick-up: the venue's box office in the afternoon, the usual bar at eleven, the promoter's meet-up before going in. Each point has its time window and its allocation, and whoever books chooses one, so there are no more fifteen WhatsApp chats asking where to meet.

Each pick-up point is a meet-up: a place, a time and someone who comes down with the tickets. Leave the venue's meet-ups in place (every Tuesday at 6pm at Gran Vía 89) and each promoter takes it as it is or sets up their own, at their bar and at their time, without touching anyone else's. A standing meet-up isn't tied to one night: it serves the upcoming ones, so they come down once and hand out Thursday's, Friday's and Saturday's. It can repeat every week and you choose how far each one reaches: all later nights, only that week's, or that week's and the next.

With the meet-up set up, message everyone who signed up for it at once, or only those who still have to pick up. If the message is a change of place or time, it's marked as such and the meet-up is updated: otherwise its details would still show the old address, which is exactly what people check when they get lost.

A meet-up stops accepting people when you say: on the hour, half an hour before, two hours before or up to a day before. The promoter sets it once in their settings and all their meet-ups are created with that rule, so nobody signs up when they're already on their way.

A timely reminder is a ticket that doesn't go unsold
At each point you see who has already come and who hasn't. Those still missing can be reminded all at once, and the booking of someone who's no longer coming is released so that place goes back to capacity before the night starts.

Manage guest lists and free lists with a cut-off time: who's on them and with how many plus-ones, each with the person in charge. Whoever signs up to the free list pays the minimum booking fee, and that's all they pay.

Publish your VIP zones and private areas with capacity and minimum spend. They're booked with a name and a time, and at the door everyone knows which table is whose without asking in the WhatsApp group.

It's not selling online: it's knowing who you have waiting
Platforms like FourVenues, Fever, Shotgun or Xceed want your sales to go through them and take their percentage of every ticket. Here nothing goes through any gateway: people book, you take payment at the door or your promoter does, and the money goes straight into your till the same day. What you gain is what you don't have today: how many people are committed before you open, who brings them, how much each promoter still has to settle and a till that adds up without recounting stubs at closing.
Frequently asked questions
Do I have to sell tickets online?
No. Your customer books their place on your event page, but doesn't pay you there: they pick up their paper ticket at the box office or from their promoter and pay you in person, in cash or with your card reader. Your box office doesn't go through any gateway or any account other than yours.
So what is paid, and who pays it?
The booking fee: €0.30 or 3% of the price, whichever is higher, and it's paid by the BUYER when booking, not the venue. It goes to Servomo's card terminal and it's the only thing we charge on this plan: there's no monthly fee and no percentage on what you're paid in person.
What if someone books and then doesn't show up?
It costs you nothing: they haven't paid you. The booking expires and the place goes back to capacity. Plus the report tells you what percentage of bookings ends up being picked up at your venue, which lets you decide whether to accept more bookings than capacity, and how many.
How do I confirm I've been paid and handed out the ticket?
From the box office or from the promoter's dashboard, with one tap on the booking. At that moment it goes into the night's till and is closed. Until you hand it out, it doesn't count as paid.
Do free-list tickets also pay the booking fee?
Yes, the minimum: €0.30 per booking, whether it comes from the list or the box office. Nothing here goes through a gateway, so it's the only thing that lets you pay no monthly fee. It's still a single charge per booking and it's paid by whoever signs up, not you.
Can I start like this and sell online later?
Yes, without changing tool or event page. The day you want to take payment online, you turn on sales and move to the paid plan: then the ticket stops being paper and carries its QR, with scanning at the door, controlled resale and bar redemption, and your customers stop paying the booking fee. The commission is 2% per ticket, going down to 1% depending on the years you sign.
What about my promoters, do they still collect the money?
Yes, and with fewer arguments. Each one has their allocation, hands out the tickets they're given and records the cash they collect. You always see how much each one is carrying and how much they've settled with you, with their commission calculated separately.
